How to Create and Manage Field Reports in eCOMM
This guide walks through how to use the Field Reports feature in eCOMM Construction Information Management. Field Reports allow project teams to document jobsite activity, track workforce and equipment, record observations, attach photos, and export reports for sharing or recordkeeping.
1. Open the Field Reports Feature
From the project dashboard or navigation menu, select Field Reports.
This will open the Field Reports page, where you can view existing reports and create new ones.
2. Review Existing Field Reports
On the Field Reports page, you will see a list of previously created reports.
From this list, you can view details such as the report date, report type, author, and status. You can also access report actions such as viewing, editing, copying, deleting, or exporting a report.
3. Create a New Field Report
To begin a new report, click New Field Report.
A new Field Report form will open, allowing you to enter the required jobsite information.
4. Choose a Field Report Type
Select the appropriate Field Report Type from the dropdown menu.
Field report types may vary depending on how your organization has set up eCOMM. Examples could include daily reports, site visits, safety reports, progress reports, or other custom report types.
5. Copy From an Existing Field Report
If you want to save time, you can copy information from a previous field report.
Select the option to copy from an existing report, then choose the report you want to use as a starting point.
This can help carry over recurring jobsite information, workforce details, equipment, or other repeated entries.
6. Enter Visit Information
Fill out the visit details for the field report.
This may include information such as:
Report date
Project or jobsite information
Visit details
Weather or site conditions, if applicable
People or companies present on site
General notes about the visit
Make sure the information accurately reflects the activity that took place during the reporting period.
7. Add Required Actions
Use the Actions Required section to document any follow-up items, tasks, or issues that need attention.
This section helps project teams keep track of next steps and responsibilities.
Examples of required actions may include:
Follow up with a subcontractor
Review a site condition
Address a safety concern
Confirm completion of work
Request additional documentation
Schedule a return visit
8. Add Workforce Information
In the workforce section, enter the labor or crew information related to the field report.
This can include details such as:
Company or contractor name
Number of workers on site
Type of work performed
Hours worked
Notes related to workforce activity
This section helps document who was on site and what work was being completed.
9. Add Equipment Information
Use the equipment section to track equipment present or used on the jobsite.
This may include:
Equipment name or type
Quantity
Operator or company
Usage details
Notes about equipment activity
Tracking equipment helps create a more complete record of daily site operations.
10. Add Observations
Use the observations section to document important notes from the field.
Observations may include:
Work completed
Site conditions
Issues discovered
Delays or disruptions
Safety observations
Quality concerns
Coordination notes
General project progress
Be clear and specific so the report can be easily understood later by the project team.
11. Add Photos
Attach photos to the field report to provide visual documentation.
Photos can help support observations, document progress, show jobsite conditions, or capture issues that need follow-up.
When adding photos, include a clear description or comment when needed so other users understand what the image shows.
12. Save the Field Report
Once all required information has been entered, click Save.
Saving the report stores the information in eCOMM and makes it available for future viewing, editing, copying, or exporting.
13. View Field Report Details
After saving, open the report to review the completed details.
The report view allows you to see the information that was entered, including visit details, actions required, workforce, equipment, observations, comments, and photos.
Review the report for accuracy before sharing or exporting.
14. Edit a Field Report
If changes are needed, select the option to Edit the field report.
Make the necessary updates, then save the report again.
Editing allows you to correct information, add missing details, or update the report as additional information becomes available.
15. Copy a Field Report
To create a new report using an existing one as a starting point, select the option to Copy the report.
This is useful when reports contain similar information from day to day or when recurring jobsite details need to be reused.
After copying, review and update the new report so it accurately reflects the current reporting period.
16. Delete a Field Report
If a report was created by mistake or is no longer needed, select the option to Delete the report.
Before deleting, confirm that the report is not needed for project records or future reference.
17. Export Field Reports
Field Reports can be exported for sharing, filing, or reporting outside of eCOMM.
Export options shown in the demo include:
CSV export
PDF export
Use CSV when you need spreadsheet-friendly data. Use PDF when you need a polished report format that can be shared or saved as a project record.
18. Manage Field Report Types
The demo also shows the ability to manage field report types.
Field report types allow teams to organize reports based on different workflows, project needs, or documentation standards.
To manage report types, open the Field Report Types area.
From there, users can create, edit, or customize report types depending on the organization’s setup.
19. Create a Custom Field Report Type
To create a new field report type, select the option to add a new type.
Enter the name and any required setup information for the report type.
Custom field report types help teams standardize documentation for specific needs such as site visits, daily reports, inspections, safety reviews, or progress updates.
20. Edit an Existing Field Report Type
To modify a field report type, select the existing type and choose the edit option.
Update the necessary fields, then save the changes.
This allows organizations to keep field reporting aligned with current project workflows and documentation requirements.
Best Practices for Using Field Reports
Create field reports consistently so the project record stays complete and reliable.
Use clear, specific language when entering observations and comments.
Attach photos whenever visual documentation will help explain site conditions or progress.
Copy previous reports when appropriate, but always review and update the copied information before saving.
Export reports when they need to be shared with team members, owners, contractors, or other project stakeholders.
Use custom field report types to match the way your team documents different kinds of jobsite activity.
Summary
The Field Reports feature in eCOMM helps construction teams document jobsite activity in a structured and organized way. Users can create new reports, copy previous reports, enter workforce and equipment details, add observations and photos, save and edit reports, export reports to CSV or PDF, and manage custom field report types.
By using Field Reports consistently, project teams can improve communication, maintain better project records, and keep important jobsite information accessible throughout the life of the project.
